Terms and Conditions

Bookings & Confirmation

A booking is considered confirmed once:
- We have received the required deposit (see Section 2), and
- We have issued a written confirmation (email/WhatsApp message is acceptable).
Any special requests (dietary needs, medical conditions, mobility needs, etc.) must be communicated before confirmation.

Payments

Deposit and balance

A 50% deposit is required at the time of booking to secure your itinerary and services.
The remaining 50% balance must be paid no later than 4 weeks (28 days) before the trip start date.

Accepted payment methods

We accept:

Bank transfer
Wise
Cash (by arrangement)

Bank/transfer fees

Clients are responsible for all bank transfer fees and charges for all payments, including deposit and final balance.
This includes fees charged by your bank and any intermediary/correspondent banks. The Client must ensure the net amount received by Weismann Safaris & Expeditions equals the invoiced amount.

Late payment

If the balance is not received by the due date, We reserve the right to:

treat the booking as cancelled and apply the cancellation policy (Section 3), and/or
release reservations and services held for your trip.

Cancellations, Changes & No-Show

All cancellations must be made in writing (email or WhatsApp message accepted) and are effective on the date we receive them.

Cancellation fees (tour price penalty)

The following cancellation penalties apply:

60–30 days before departure: 10% of the total tour price
30–11 days before departure (or no-show): 20% of the total tour price
10–0 days before departure: 50% of the total tour price

“Tour price” refers to the total confirmed itinerary cost.

Gorilla/Chimpanzee/Park permits

Gorilla permits, chimpanzee permits, and park permits are non-refundable once issued.
If permits have been purchased/issued, their cost will be charged in full even if you cancel.

Date changes / rescheduling

Date changes are allowed subject to availability and supplier conditions.
For gorilla and chimpanzee permit rescheduling, a reschedule fee of USD 100 applies (in addition to any government/supplier fees, if charged).

No-show and early departure

If a Client does not arrive (“no-show”) or leaves the trip early, no refunds are provided.
The cancellation policy above will apply, and any non-refundable components (including permits) remain chargeable.

Travel Insurance & Health

Travel insurance is strongly recommended for all Clients.
We recommend coverage that includes (at minimum): emergency medical expenses, trip cancellation/interruption, baggage, and activities included in your itinerary.
Clients are responsible for ensuring they are medically fit for travel and for any required vaccinations/health documentation.

Safety, Conduct & Right to Refuse Service

We prioritise safety for Clients, staff, and local communities.

We reserve the right to remove a Client from an activity or trip (without refund) for:
- unsafe behaviour,
- illegal activity,
- harassment or disruptive conduct,
- failure to follow safety instructions, or
- actions that put others at risk.
Clients must comply with guide/driver instructions and local regulations at all times.

Prices & Changes to Costs

Price confirmation

Prices are kept fixed after booking confirmation.

Exceptional cost increases (government/supplier changes)

In rare cases where unavoidable costs increase due to government actions, park fees, or supplier changes outside our control, We will:
notify you as soon as possible, and
provide the option to accept the revised cost or cancel within a reasonable timeframe.
If you cancel under this clause, any non-refundable permits or pre-paid services already issued remain chargeable.

What’s Included / Not Included

Your itinerary confirmation will specify inclusions and exclusions. Unless explicitly stated in writing, typical exclusions include:

international flights,
visa fees,
personal expenses (laundry, tips, souvenirs),
optional activities not listed,
travel insurance.

Flights

International flights: Clients book international flights themselves.
Domestic flights within Uganda: We can arrange domestic flights on request, subject to availability and supplier rules.

Communication & Documentation

Confirmations, updates, and important notices may be sent via email and/or WhatsApp.
Clients must ensure contact details are accurate and that they can receive messages during the booking process and trip.

Liability & Force Majeure

We are not liable for delays, changes, or inability to provide services due to events beyond our reasonable control, including but not limited to: natural disasters, severe weather, government restrictions, strikes, security issues, pandemics, or supplier failures (“Force Majeure”). In such cases, we will aim to offer reasonable alternatives where possible, subject to supplier conditions and non-refundable components.

Governing Law & Disputes

These Terms are governed by the laws of Uganda. Any disputes will be handled under the competent jurisdiction of Uganda.
